Who we are
Property West London Ltd (“we”, “us”) is the controller of the personal data described in this notice. We are registered in England and Wales, company number 16661406, with our registered office at First Floor Office, 34 Great Queen Street, London, WC2B 5AA.
Property West London Ltd is registered with the Information Commissioner’s Office (registration number ZC285463).
For anything about your personal data, email management@propertywestlondon.co.uk.
What we collect and why
We only collect what you give us through our forms or when you email or call us, plus the minimum needed to keep the site secure.
When you register interest in a development
- Your name, email address and phone number, the apartments you are interested in, which best describes you (for example, first-time buyer), whether you are chain-free or have a mortgage agreement in principle, and any message.
- We use these to contact you about that development: prices, the specification, release dates and viewings. Our lawful basis is our legitimate interest in responding to people who have asked to hear from us, and taking steps at your request before you enter into a contract.
- If you tick the separate box to hear about our other developments, we will also email you about those. Our lawful basis for this is your consent, which you can withdraw at any time by emailing management@propertywestlondon.co.uk or using the unsubscribe link in any email.
When you send an enquiry
- Your name, email address, phone number (if you give it), the topic and your message.
- We use these to reply to you. Our lawful basis is our legitimate interest in responding to enquiries about our services.
When you email or call us
- Your name, contact details and whatever you tell us, for example about buying at one of our developments.
- We use these to reply to you. Our lawful basis is our legitimate interest in responding to enquiries, and taking steps at your request before you enter into a contract.
When you report an issue as a resident
- Your name, email address, phone number (if you give it), property address, the type of issue, your description and any photo or document you attach.
- We use these to deal with the issue and keep a record of it. We check your email address against our list of residents so our team can see whether a report comes from a building we manage. Our lawful basis is the performance of a contract (the management of your building) or, where we have no contract with you directly, our legitimate interest in managing the building properly.
Keeping the site secure
- To stop spam, we count how many forms are sent from each connection in a short period. We do not store your IP address: we store a one-way coded version of it, which is deleted, usually within a day. Our lawful basis is our legitimate interest in protecting the site and the people who use it.
- Our hosting provider keeps short-lived technical logs, such as the pages requested, for the same reason.
Measuring how the site is used
- Vercel Web Analytics and Speed Insights record the page you view, the site that linked to it, your browser, operating system, device type, connection speed and approximate location (country, region or city), and how quickly the page loaded. They do not use cookies and do not store your IP address: visits are counted with a coded value that is discarded within 24 hours, so we cannot identify you. Our staff dashboard is not measured. Our lawful basis is our legitimate interest in knowing which pages are useful and keeping the site fast.
Who we share it with
We use these service providers to run the site. They process data only on our instructions:
- Supabase: our database and file storage, where form submissions are kept.
- Vercel: hosts the website, runs the code that receives your form, and provides our cookieless visitor statistics.
- Resend: sends us a notification email when you submit a form, and sends you a confirmation.
- Google Workspace: our email, where your emails to us are kept.
We don’t share your enquiries, interest registrations or resident reports with estate agents or any other third party for their own use.
We will also share data if the law requires us to.
Where your data is stored
Form submissions are stored by Supabase in the European Union (Ireland). The code that receives your form also runs in Ireland, in Vercel’s Dublin region, and Resend sends our emails from its EU region. Vercel and Resend are US companies, so some data, such as service logs and visitor statistics, may still be processed in the United States. Where data is transferred outside the UK, our providers’ data processing terms include the safeguards UK law requires, such as the International Data Transfer Addendum.
How long we keep it
We keep enquiries, interest registrations and resident reports for 2 years after our last contact with you, then delete them. If you withdraw your marketing consent, we stop sending you marketing emails straight away.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal data we hold about you
- ask us to correct data that is wrong or incomplete
- ask us to delete your data
- ask us to limit how we use your data, or object to how we use it
- ask for your data in a format you can take elsewhere
- withdraw your consent at any time, where we rely on it
To use any of these rights, email management@propertywestlondon.co.uk. We will reply within one month. There is usually no charge.
Cookies
The public website does not set cookies, including for visitor statistics. Our cookie policy explains the one cookie used by our staff area.
Complaints
If you are unhappy with how we have handled your data, please tell us first at management@propertywestlondon.co.uk. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
